Multicity Experts coordinates premium travel on behalf of clients, working with airlines and travel suppliers whose individual fare conditions govern the majority of refund and cancellation outcomes. We are committed to communicating these conditions clearly before any booking is confirmed.
All refunds, credits, or rebooking options remain subject to the policies of the airline and suppliers involved. Multicity Experts will always act as your advocate in pursuing available remedies.
Airline Fare Rules
International airfares are governed by the rules set by each airline and fare class. These rules vary significantly and may include:
- Fully non-refundable fares with no cash return upon cancellation
- Partially refundable fares subject to cancellation penalties and fare differences
- Changeable fares that permit rerouting or rescheduling for a fee
- Refundable fares available in premium cabin classes or negotiated corporate arrangements
We will clearly communicate the applicable fare rules before any ticketing is completed. You are responsible for understanding and accepting these conditions prior to booking confirmation.
Situations that may affect refundability:
- Voluntary cancellation by the traveler after ticketing
- Schedule changes or cancellations initiated by the airline
- Failure to appear for a scheduled flight (no-show conditions)
- Partial use of a multi-city itinerary
Service Coordination Fees
Multicity Experts charges service coordination fees for the planning, research, and advisory work provided to clients. These fees reflect the specialized expertise and time invested in crafting complex itineraries.
- Service coordination fees are non-refundable once work has commenced on your behalf
- Fees are communicated transparently prior to any engagement
- If a booking is cancelled due to an error on our part, a fee adjustment or credit may be offered at our discretion
Service fees and airfare costs are separate components. A refund of airfare (if eligible under airline policy) does not affect the non-refundable nature of service fees already incurred.
Change & Amendment Requests
If you need to modify your travel plans after ticketing, please contact us as soon as possible. The following may apply:
- Date or routing changes may require payment of airline-imposed change fees
- Fare differences may apply if the new travel dates or routing carry a higher base fare
- Name corrections may incur fees depending on the airline's policy
- We will always seek the most cost-effective amendment option available within the fare rules
We recommend contacting us at least 72 hours before departure for any change requests to allow adequate processing time. Emergency requests will be handled as promptly as possible.
Refund Process
Where a refund is eligible under the applicable airline fare rules, Multicity Experts will submit the refund request on your behalf and track its progress. Please be aware:
- Refund processing times vary by airline and may take 7–20 business days or longer
- Refunds are typically credited to the original payment method
- We will keep you informed of the refund status throughout the process
- In the event of airline bankruptcy or operational failure, refunds are subject to the airline's insolvency procedures
